The city Hospital, in northern France, was equipped with analog copiers and the contract was coming to its end. A tender was then issued to rationalize and optimize the printers/copier strategy by putting the right equipment at the right place. One of the key features need was to have a copy control and usage reporting system to control the cost and bill it to appropriate departments. The client chose SecureJet-FP and hp LaserJet 9000mfp and 4100mfp, with MegaTrack to aggregate tracking data and publish automatically billing and usage reports. |

1. Finding a solution
Early 2004 the city Hospital issued a public tender to replace analog copiers with 90 MFPs and printers, and picked four companies to make the short list then tested all proposed solutions. One of the key requests from the client was to have a copy control and usage reporting system. The goal is to keep global cost under control and responsabilise users by billing back the print/copy cost to user departments.
Users would need to identify themselves on the MFPs using a unique PIN code linking them to their profile (department, name, email address, login).
2. SecureJet, the right solution

Mid 2004 the city Hospital selected SecureJet-FP (identification using PIN codes) and hp LaserJet 9000mfp / hp LaserJet 4100mfp, plus MegaTrack (from Capella Technologies) for the report generation. Fully integrated in the MFP firmware, SecureJet controls access to copy, scan, fax, email, and reports full information about each job. That information is pushed automatically to a PC where MegaTrack stores, computes and generates web reports for the IT manager (wishing to know how devices are used) and the procurement manager (wishing to know what department to bill for the usage). |
